It is very important to manage your Event bookings the right way when you are running a WordPress Events website. EventPrime offers you the best booking management system to keep track of your Events’ audience. Today we are going to look at how EventPrime’s Booking Manager works and what options it provides to you.

First of all, you need to have EventPrime installed and activated on your site. And you need to have an Event created with it already. If you haven’t completed this prerequisite, we recommend that you check EventPrime’s official Starter Guide.

Enabling Booking for Events

If you do already have an Event created with EventPrime, you should have Bookings enabled to manage its Attendees. To enable Bookings on an Event, visit the Event’s Settings page by clicking on the ‘Settings’ link that appears on the Event details popup when you hover your cursor on it in the calendar.

This will open the page from where you can configure all major settings for your Event. On this page, look for the option ‘Enable Booking’. Check this checkbox to enable Bookings on this Event.

Enabling Bookings will also reveal the options to set ‘Start Booking Date’, ‘Last Booking Date’, ‘Booking Price’, ‘Hide Booking Status’, and ‘Allow Cancellations’. Do check the help-texts next to each one of these options to see what they do. For now, we’ll just set ‘Start Booking Date’, ‘Last Booking Date’, and ‘Booking Price’.

Now, let’s check out how the booking options appears on the frontend. It will appear as a ‘Buy Tickets’ button on the Event page, along with the price of the Booking.

Clicking on the button will allow Attendees to register their Booking for the Event. Once an Attendee has registered his/her Booking, you can see the record of it inside the Bookings Manager in the WordPress Dashboard.

The Bookings Manager List

 

 

The Booking Manager can be accessed by clicking on the ‘Bookings’ menu link under the ‘EventPrime’ WordPress Dashboard Menu.

On the Bookings Manager page, you’ll be able to see right away the list of Attendees who have registered their Bookings for your Events. If you don’t have any Bookings yet, then the list will not appear. The Booking list will include each Attendee’s Booking ID, Username, Email Address, No. of Tickets, and a ‘View’ link to see details of the Booking.

The Bookings Manager Filters

There are many filters available to you on the Bookings Manager page. The main filter is on the top right of the page from where you can filter the Attendee list according to Events. Select an Event from the ‘Displaying For’ dropdown and you will see Bookings for that Event only.

Other filters are on the left of the Booking list. This includes filtering Attendees by the Time of their Bookings, and Booking Status. Options to filter Attendees by ‘Time’ are…

  1. All – Use this when you want to see Bookings not filtered by time. This is selected by default though.
  2. Today – This will filter the list and display Attendees that registered their Bookings on the current date.
  3. This Week – Displays Attendees in the list that registered their bookings in the current week.
  4. This Month – Displays Attendees in the list that registered their bookings in the current month.
  5. This Year – This will filter the list and display Attendees that registered their Bookings in the current year.
  6. Specific Period – Choose this option if you wish to filter the Bookings list according your own defined time range. You will get the options to define start and end time according to which the list will be filtered.

Options to filter Attendees by ‘Booking Status’ include…

  1. Completed
  2. Cancelled
  3. Pending
  4. Draft
  5. Refunded

Finally, there are the options to ‘EXPORT ALL’ and ‘DELETE’ that are right underneath the ‘Attendees’ heading. ‘DELETE’ will delete the selected Attendee’s Booking registration. While ‘EXPORT ALL’ will export the entire list of Attendees in a CSV file.
